The Facilities Coordinator will maintain efficient and smooth operations of the physical locations of all branch offices.
Ensures assigned equipment is in proper working order and available for use.
Maintains physical space, ensuring a safe, clean, and functional environment.
Receives, manages, and processes work order requests; ensures problems are resolved quickly.
Maintains complete, up-to-date and accurate digital records of all facility service, work orders and maintenance records within the appropriate systems.
Acts as liaison between employees and any outside contractors.
Manages and unlocks vendor value by researching new vendors, gathering quotes,controlling costs, reducing risk and ensuring satisfactory service.
Drafts and implements preventive maintenance schedules for buildings and equipment.
Manages fleet of vehicles including licensing renewals, maintenance schedules and insurance coverages.
Participates on emergency preparedness planning team.
Applies, or assists with application, for required permits when needed.
Maintains inventory of supplies; reorders as needed.
Assists with developing and implementing facilities-related policies, procedures, processes and systems.
Ensures security and safety standards are followed throughout facilities.
Recognizes and communicates any and all critical issues to management.
Responsible for coordinating office moves, handling furniture purchasing and replacement, installations and reconfigurations.
Tracks, organizes, documents, and maintains physical keys for all facilities.
Leads disaster recovery by conducting risk and damage assessments, testing procedures, and developing repair plans and schedules.
Coordinate with Director, Enterprise Risk to establish and maintain records management for all offices.
Travel to branches when necessary.
Performs other related duties as assigned.
