POSITION SUMMARY
Performs bookkeeping, clerical and administrative support duties related to paying expenses incurred by the organization. Work involves setting up invoices for payment and posting transactions to the ledger. Provides quality customer service by interacting with faculty, administrators, staff, students and external organizations.
ESSENTIAL FUNCTIONS OF THE JOB
Reviews invoices and check requests for proper documentation, signatures, and account codes.
Researches and resolves invoice discrepancies.
Verifies that transactions comply with the policies and procedures of the Organization, as well as with any federal & state regulations.
Prioritizes invoices according to payment terms.
Enters vouchers into Colleague accounting system.
Processes weekly check runs and electronic transfers.
Responds verbally and in writing to vendor and staff inquiries; serves as a liaison between departments and vendors.
Serves as a back-up for purchasing card activity.
Reconciles accounts payable general ledger transactions and makes corrections as needed.
Reconciles monthly Purchase Order activity.
Perform general ledger account reconciliations and analysis
Resolve accounting discrepancies and prepare reconciling journal entries
Maintains files and documentation thoroughly and accurately in accordance with Organization policy and procedure.
Maintains vendor files and prepares 1099s at year end.
Provides supporting documentation and reports for year-end audits.
Ability to perform mathematical computations such as percentages, fractions, addition, subtraction, multiplication and division quickly and accurately.
Ability to work independently and with a team in a fast-paced and high volume environment with emphasis on accuracy and timeliness.
Conveys by word and action the values expected.
Performs other duties as assigned.
MINIMUM QUALIFICATIONS
Knowledge of basic accounting principles
Proven experience multi-tasking, organizing, meeting deadlines.
Experience researching, problem-solving, and analyzing financial data
Minimum 1 year experience in processing accounts payable using an integrated ERP system to enter, retrieve, and edit financial data.
SUPERIOR QUALIFICATIONS
Associate's Degree in Accounting or Bookkeeping or equivalent education or experience.
Thorough knowledge of accounts payable/general ledger systems and procedures, and financial chart of accounts.
Prior accounting experience in higher education.
Experience with Colleague ERP computer system
